The GANTT360° philosophy

Projects & Charts

Organize your work in projects, folders, and charts

Everything in GANTT360° lives inside a project. A project is a container — like a client engagement, a program, or a department. Inside a project you create charts (the actual GANTT diagrams) and organize them in folders.

Create a new chart

  1. 1Click the green "+ New Chart" button in the sidebar
  2. 2Pick a template or start blank
  3. 3Your chart opens in the editor immediately

Create a folder

  1. 1In the sidebar, find your project name
  2. 2Click "+ New Folder" below it
  3. 3Type the folder name and press Enter
  4. 4The folder appears — ready to organize charts into it

Move a chart into a folder

  1. 1In the sidebar, right-click any chart name
  2. 2Select "Move to [Folder Name]"
  3. 3The chart moves into that folder instantly
  4. 4To move it back, right-click → "Move to root"

Delete a folder

Click the × button next to the folder name. Charts inside are NOT deleted — they move back to the project root. Only the folder container is removed.

Tip: Use the search bar at the top of the sidebar to quickly find any chart across all projects and folders.

Editing Basics

Add tasks, drag bars, edit labels, and zoom

Add a task

Three ways to add a task:

  1. 1Click the "+ Task" button below the chart
  2. 2Right-click on the empty timeline area → "Add Task here" (creates it at the clicked date)
  3. 3Drag on empty timeline area to draw a bar (left-click + drag horizontally)

Move a task

Click and drag any bar horizontally. The dates shift. If the task has dependencies, downstream tasks cascade automatically.

Resize a task

Hover over the left or right edge of a bar — the cursor changes to a resize arrow. Drag to change the start or end date.

Edit labels

Double-click any text in the left panel — activity name, owner, or status — to edit it inline. Press Enter to save, Escape to cancel.

Zoom & scroll

Zoom applies only when the cursor is over the timeline area. When the cursor is over the left pane (Activity, Owner, Status, Progress), the scroll wheel scrolls the page normally — so you can browse long task lists without accidentally zooming.

ActionHow
Zoom inCursor over timeline, scroll wheel up (or pinch-out on touch)
Zoom outCursor over timeline, scroll wheel down (or pinch-in on touch)
Scroll task list verticallyCursor over the left pane, scroll wheel
Pan left/rightDrag the scale header row, or use the horizontal scrollbar when zoomed
Extend the timelineGrab the LEFT or RIGHT edge of the scale header (cursor becomes ↔) and drag — start/end date moves with you. A live +Nd pill shows the delta.

Paste from Excel

Copy tab-separated data from Excel or Google Sheets (columns: Task Name, Start Date, End Date, Responsible). Paste into the chart with Ctrl+V — tasks appear instantly with dates and owners assigned to the first group.

Date labels on bars

Right-click any task bar and choose "Show Dates" to display start date, end date, both, or duration directly on the bar. Options: Start, End, Both, Duration, None.

Sub-tasks (indent levels)

Right-click a task and select "Add Sub-task" to create a nested child task. The parent becomes drillable — click the ▶/▼ toggle to expand or collapse its children. Sub-tasks are indented visually in the left column.

Dependencies

Link tasks with drag-and-drop arrow connections

Dependencies are the arrows between tasks. When you move task A, task B shifts automatically. This is the "auto-reflow" engine — the core of GANTT360°.

Create a dependency

  1. 1Hover over any task bar
  2. 2A small green circle appears on the right edge
  3. 3Click and drag that circle toward another bar
  4. 4A dashed line follows your cursor
  5. 5Release on the target bar — the dependency is created
  6. 6An elbow arrow now connects the two tasks
Tip: The dependency is always end → start: the source task's end date connects to the target task's start date.

Delete a dependency

  1. 1Right-click on the arrow line (it has a wide invisible hit area — easy to click)
  2. 2Select "Delete Dependency"

How cascading works

PatternBehavior
A → B (simple)Moving A's end shifts B's start by the same delta
A → B → C (chain)Moving A cascades through B to C
A → B, A → C (fan-out)Moving A shifts both B and C
A → C, B → C (fan-in)C.start = max(A.end, B.end) — latest wins
Important: Dependencies cascade in real-time during drag — you'll see all affected bars shift as you move the source bar.

Drillable Phases

One chart for executives AND delivery teams

"The feature no other Gantt tool offers. One chart serves both the Steering Committee (collapsed overview) and the Delivery Team (expanded detail)."

How it works

Groups (phases) and drillable tasks show a ▶ or ▼ arrow in the left panel:

StateWhat you seeWhen to use
▶ CollapsedSummary bar spanning min→max dates of children, weighted progressExecutive overview
▼ ExpandedAll child tasks visible with their own barsDelivery team detail

Expand / collapse

  1. 1Click the ▶ arrow next to any phase name → expands
  2. 2Click the ▼ arrow → collapses back to summary bar
  3. 3Use the toolbar's expand/collapse toggle — one button that flips based on current state
  4. 4Keyboard: press E to expand all, C to collapse all

Summary bar calculation

When collapsed, the summary bar automatically shows:

  1. 1Start = earliest child task start date
  2. 2End = latest child task end date
  3. 3Progress = duration-weighted average of all children
Tip: Dependencies to tasks inside a collapsed phase automatically re-route to the summary bar edges. Expand again — they snap back to the real tasks.

Swimlane View

Group rows by owner instead of phase

The toolbar has a [Phase | Owner] toggle. Switch to Owner and the chart re-groups rows by the Responsible field — one lane per person. Same data, different angle: instead of 'what phase is this in?' you see 'who is doing what, when?'

When to use it

  1. 1Before a 1:1 — filter to one person's lane to talk through their work
  2. 2Spot overload — if Anna's bars all overlap in May, that's a resource conflict
  3. 3Answer the classic SteerCo question 'who owns what?' instantly

Sort options

In Owner mode a sort dropdown appears next to the toggle:

SortWhat it does
Name (A–Z)Alphabetical, Unassigned last
WorkloadMost tasks first — find your busiest person
Earliest startWhoever starts soonest goes on top
Tip: Owner collapse works like phase collapse — click a lane's ▶ to aggregate all that person's bars into one summary bar. Expand/Collapse All in the toolbar respects whichever view you're in.

Workload heatmap

Toggle Properties → 'Show resource heatmap' with the chart in Owner mode. A thin colored strip appears along the bottom edge of each owner lane showing that person's weekly concurrent-task count:

ColorConcurrent tasks that week
transparent0 — free
green1 — on a single thing
amber2 — double-booked
red3+ — overloaded
Tip: Hover any colored cell for a tooltip with the exact count. The heatmap only renders in Owner mode — in Phase mode you get the legacy single strip below the chart.

Baseline vs. Actual

Show plan drift as ghost bars under every task · Pro

Baselines freeze the original plan so you can see how reality diverged. When you set a baseline, each task remembers its planned dates — and the chart renders a gray dashed ghost bar above every live bar showing where the plan originally had it.

Setting a baseline

  1. 1Open Properties panel (right sidebar)
  2. 2Toggle 'Show baselines' on
  3. 3Right-click any task → 'Set baseline to current dates' (or use 'Baseline all' in the toolbar)
  4. 4Ghost bars appear — the comparison clock is now ticking

Reading the ghost

What you seeMeaning
Gray dashed bar above the live barThe original plan
Red slip line between ghost-end and live-endHow many days the task slipped
Ghosts align with live barsOn plan
Tip: Reset a baseline after major replanning — right-click the task → 'Reset baseline to current dates'. The slip clock restarts from today.

Undo an accidental baseline

  1. 1Immediately after: Ctrl+Z (or Cmd+Z on Mac) undoes the baseline set like any other edit
  2. 2One task at a time: right-click → 'Clear baseline for this task'
  3. 3Project-wide: Properties panel → 'Clear all baselines' button (appears only when baselines exist)

Critical Path

Highlight the chain that determines your end date · Pro

The critical path is the longest chain of dependent tasks in your project. If any task on it slips, the whole project slips. GANTT360° computes and highlights it in red so execs instantly see which slips matter.

Turning it on

  1. 1Open Properties panel
  2. 2Toggle 'Highlight critical path' on
  3. 3Critical tasks get a red outline, critical dependencies render red
Tip: Combine with baselines: a task that's both on the critical path AND slipping vs baseline is the one to bring to the SteerCo. Everything else is noise.

Bar Styles & Progress

Customize how each task looks

Change bar style

  1. 1Right-click any task bar
  2. 2Choose: Solid Bar, Dashed Bar, or Process Arrow
StyleUse case
SolidActive, in-progress work
DashedPlanned, tentative, or support phases
Process ArrowChevron/pentagon shape for process steps

Change color

Right-click a bar → choose from 5 palette colors (Primary, Secondary, Accent 1–3). Colors follow your project theme.

Set progress

Right-click a bar → Progress: 0%, 25%, 50%, 75%, 100%. The progress column shows a mini bar + percentage.

Sign-off checkbox

  1. 1Right-click a bar → "Add Sign-off Checkbox"
  2. 2An unchecked box appears next to the task
  3. 3Click the checkbox to mark the task as signed off ✓
  4. 4Use this after formal sign-off — it's a manual confirmation, not tied to progress %

Milestones

Mark key dates with diamond, triangle, circle, or X shapes

Add a milestone

  1. 1Click "+ Milestone" below the chart, or
  2. 2Right-click empty timeline → "Add Milestone here"

Milestones appear as diamond shapes by default. They can be placed on their own row (standalone) or on an existing task row.

Milestone shapes

The chart_spec supports 4 shapes: diamond ◆, triangle ▲, circle ●, and X mark ✕. Right-click any milestone to switch shapes. All render in the SVG and export to .pptx.

Convert a task bar into a milestone

Right-click any task bar → Style → 'Milestone Diamond'. The bar collapses into a shape on its start date, but the row (with its owner, status, dependencies) stays. Right-click the resulting shape → Shape → pick Diamond / Triangle / Circle / X Mark — same vocabulary as a standalone milestone.

Phase Bands & Brackets

Annotate time ranges below the chart — shaded or line style

"Like think-cell's phase ranges. Mark workshops, sprints, code freezes, or any period — with a shaded column spanning the full chart height and a colored label below."

Add a Phase Band (shaded)

  1. 1Right-click on the empty timeline area
  2. 2Select "Add Phase Band (shaded)"
  3. 3Enter a label — e.g., "Offsite Workshop" or "Code Freeze"
  4. 4A subtle shaded column appears across the chart height
  5. 5A colored pill label appears below the chart

Add a Bracket (line)

  1. 1Right-click on the empty timeline area
  2. 2Select "Add Bracket (line)"
  3. 3A line bracket (⌐─┬─┐) appears below the chart with a label
  4. 4Good for labeling time spans without visual shading

Switch between styles

Right-click any existing bracket or band → "Switch to Phase Band" or "Switch to Bracket". The dates and label are preserved — only the visual style changes.

Delete

Right-click any bracket or band → "Delete". Confirmation required.

Tip: Phase Bands are perfect for: Offsite Workshops, Sprint periods, Holiday windows, Code Freezes, UAT cycles, Hypercare phases. The shaded column makes them instantly visible.
StyleVisualBest for
Phase BandShaded column + colored pill labelWorkshops, sprints, holidays, freezes
BracketLine with end caps + center tick + labelTime span annotations, phase durations

Holiday Shades

Mark non-working periods with shaded columns

Weekend shading is automatic (grey stripes every Saturday/Sunday). For custom non-working periods — holidays, company shutdowns, vacation — you can add custom shades.

Add a holiday shade

  1. 1Right-click on the empty timeline area
  2. 2Select "Add Holiday / Shade"
  3. 3Enter a label — e.g., "Summer Holiday" or "Christmas Break"
  4. 4A shaded column appears with an italic label at the top

Delete a shade

Right-click the shaded area → "Delete shade". The shade is removed instantly.

Tip: Holiday shades help stakeholders understand why certain periods have no progress — the visual makes it obvious that the team is on break, not blocked.

Weekend shading

Weekend columns are shaded automatically based on the Work Week setting in Properties. Set to 5-day (Mon–Fri) for grey weekend stripes, or 7-day to remove them.

Themes & Branding

Match your corporate colors in 13 slots

Edit theme colors

  1. 1Click "Theme" in the toolbar
  2. 2The right panel shows 13 color slots
  3. 3Click any color swatch → pick from the color picker or type a hex value
  4. 4Changes apply live to the chart
  5. 5Theme auto-saves to your project (2s debounce)

Upload a .pptx / .thmx theme

  1. 1In the Theme panel, click "Upload .pptx / .thmx"
  2. 2Select your PowerPoint file or Office theme file
  3. 3Colors are extracted from the Office XML color scheme
  4. 4They merge with your current theme — all 13 slots update
Tip: Ask your brand team for the company .pptx template — upload it once, and every chart matches your corporate identity.

Exports

.pptx, .pdf, .png, clipboard, and drill-down decks

Export dropdown

Click "Export ▾" in the toolbar. Options:

FormatWhat you get
Download .pptxGrouped PowerPoint shapes — editable in PPT (move bars, change text, recolor)
Download .pdfA4 landscape PDF of the current view
Download .png2x retina PNG image
Copy as PNGCopies the chart to your clipboard — paste into Slack, email, docs
Drill-Down DeckMulti-slide .pptx: Slide 1 = all collapsed, then one slide per expanded group

"The .pptx export produces real PowerPoint shapes — not a screenshot. Your SteerCo audience can edit the chart directly in PowerPoint after you send it."

Key differentiator
Important: The Drill-Down Deck is the killer feature for Steering Committee packs — it auto-generates overview + detail slides from one chart.

Sharing & Embedding

Share live, interactive charts without login

Create a share link

  1. 1Click "Share" in the toolbar
  2. 2Click "Create View Link"
  3. 3Copy the URL — send to anyone
  4. 4Viewers see a read-only chart with drill interactivity

Embed in Confluence / SharePoint / Notion

  1. 1In the Share panel, copy the Embed Code (iframe)
  2. 2Paste into your wiki's HTML/embed block
  3. 3The chart renders live inside your page

Password protection

Enter a password in the Share panel before creating the link. Viewers must enter the password to see the chart.

Link expiry

Set the link to expire after 7, 30, or 90 days from the dropdown in the Share panel.

Viewer downloads

Anyone viewing a shared chart can download it as PNG or PDF using the buttons in the top-right corner. No login required — viewers take a snapshot of the current drill state.

Tip: Downloads reflect the viewer's current drill state — if they've expanded a phase, the export includes that expanded view.

Weekly email reports

Add one or more recipients in the Weekly Email Report section of the Share panel. Every Monday at 08:00 UTC, each recipient gets an HTML status email built from the chart's current version: slip badge, task counts, next 5 milestones, and a link back to the full chart.

  1. 1Open the Share panel
  2. 2Scroll to 'Weekly email report'
  3. 3Type a recipient email → click Add
  4. 4Monday 08:00 UTC: Resend sends the report automatically
Tip: Need it now, not Monday? Click '📧 Send preview to me' for an instant send to your own address, or the ↗ arrow next to any recipient to resend to that person on demand.

PM Advisor

Your AI project management coach — paste emails, drop files, get action plans

The PM Advisor is a conversational AI that reads your chart and responds as a senior project manager. It goes beyond what the chart shows — suggesting meetings, cadences, escalation paths, and communication strategies.

How to use it

  1. 1Click the person icon (green accent) in the toolbar
  2. 2Type a question or paste a stakeholder email
  3. 3Optionally attach files: screenshots, PDFs, text documents
  4. 4AI responds with chart-aware, actionable advice

What you can ask

InputWhat you get
Stakeholder email about a deadlineAction plan with owners + draft reply
"What should I focus on this week?"Prioritized task list based on your chart
Screenshot of a Jira boardGap analysis vs your Gantt timeline
SOW or scope document (PDF)Missing tasks and risk flags
"How do I prepare for go-live?"War room setup, daily cadence, rollback plan
Meeting minutesUpdated priorities and follow-up actions

File attachments

Click the paperclip icon or drag files onto the input. Supported: images (PNG, JPG — the AI reads screenshots), PDFs, text files, CSV, Markdown. Max 8000 characters per document.

Tip: The Advisor maintains conversation history during your session. Ask follow-up questions — it remembers context from earlier messages.
Tip: The Advisor reads between the lines of your chart. It identifies risks not shown as tasks (training gaps, vendor dependencies, change management) and suggests actions for the space between milestones.

Project Notes (AI memory)

The Advisor automatically extracts key facts from each conversation and saves them as Project Notes. On your next session — even days later — the AI remembers deadlines, decisions, risks, and action items.

Industry Playbooks

Milestone checklists that enrich your PM Advisor

When your chart matches a known industry pattern (SAP cutover, M&A integration), the PM Advisor automatically loads the relevant playbook — structured milestone checklists with known risks and best practices.

Available playbooks

PlaybookItemsPhases
SAP S/4HANA Cutover47 checklist itemsPre-Cutover → Rehearsal → Go-Live → Hypercare
M&A First 100 Days18 checklist itemsStabilize → Integrate → Optimize

Playbooks are matched automatically based on your chart title and group names. The PM Advisor references checklist items when answering questions, and the Risk Register uses known risks from the playbook.

Tip: More playbooks coming: Construction FIDIC, Pharma Clinical Trial, Software Go-To-Market. Contact us at office@botforce.at to request an industry.

Password Reset

Forgot your password? Here's how to reset it

  1. 1Go to the login page and click "Forgot password?"
  2. 2Enter your email address
  3. 3Check your email for a reset link
  4. 4Click the link and set a new password (minimum 8 characters)
  5. 5Log in with your new password
Tip: If you signed up with Google, you don't have a password — just click "Continue with Google" on the login page.

Version History

Every edit auto-saved, compare any two versions

GANTT360° saves a new version every 5 seconds of idle time after a change. Identical saves are deduplicated (no noise).

View version history

  1. 1Click "Versions" in the toolbar
  2. 2The panel shows all versions with timestamps
  3. 3Click "Restore" on any version to revert

Create a named snapshot

  1. 1Click "Snapshot" in the toolbar
  2. 2Enter a note (e.g., "Final numbers from finance")
  3. 3The version is saved immediately with your note

Compare versions

  1. 1Below the version list, find the Compare section
  2. 2Toggle between "Chart" (current chart) or "Project" (all charts)
  3. 3Select two versions from the dropdowns
  4. 4Click "Compare"
  5. 5Color-coded diff: green = added, orange = changed, red = removed
Important: Versions are immutable and append-only. Restoring a version creates a NEW version with the old data — nothing is ever deleted.

Since-last-version on the chart

Properties panel → 'Show change deltas' renders the diff directly on the bars (not just in a compare view):

VisualMeaning
+3d / −2d pill on right edge of barEnd-date moved N days since last version
Purple dashed ghost bar below the live barWhere the previous version had this task
Green NEW pill on left edgeTask was added since the last version
Tip: Pair with Baseline (plan vs. actual) for the full picture: baseline ghost above = original plan; version-diff ghost below = last-snapshot position; live bar = now.

Chart Settings

Configure title, scale, columns, and display settings

Open the Chart Settings panel

Click the gear icon in the toolbar (to the right of the Export button). The right panel shows all chart-level settings.

Dark Mode

Switch between light and dark themes

Click your avatar at the bottom of the sidebar to open the account menu, then toggle Dark mode. The entire editor — chart, panels, toolbar, sidebar, and KPI bar — switches to a dark color scheme. Your preference is saved in your browser and applies across all charts.

Tip: Dark mode only affects the editor UI. Exports (PPTX, PDF, PNG) always use light backgrounds for print-readability.

KPI Dashboard

Six live metrics above every chart

The KPI bar appears automatically above the chart — both in the editor and on shared links.
